Bean 14 Limited Privacy Statement

Bean 14 Limited is a coffee roastery and sundries supplier, vending machine operator and retailer (including online eCommerce), and provider (included maintenance and repair) of Coffee, Vending and Water machinery.  

We are committed to protecting your privacy and this privacy statement applies to the personal information we collect from you and use, whether by phone, online, emails, letters, documents or in person.

 By engaging our services, you consent to the data practices described in this statement.  

 Collection of your Personal Information  

Bean 14 collects personal information about you which may include your e-mail address, name, telephone number, employer and employers contact details, IP address and other information as described below.


 Use of your Personal Information 

Bean 14 collects and uses your personal information to deliver the services you have requested. 

Bean 14 also uses your personally identifiable information to inform you of other services or products or offers available from Bean 14 and its partners. Bean 14 may also ask you for feedback or to conduct research for the development of potential services or products.  Feedback and research information are only used for internal planning purposes.

 If you would like to stop receiving emails from us, including product updates, offers and other marketing messages, you can either contact us directly or use the opt out option which will be available.  We will then ensure that we stop sending this information to you.

 Whenever you provide personal information, we are legally obliged to use your information in line with all applicable laws concerning the protection of personal information, including the General Data Protection Regulations 2018.

 Keeping Personal Information  

Bean 14 will hold your personal information on our systems for as long as is necessary for the purpose of delivering services requested; and for any legal requirements. It is anticipated that we will hold your personal information for a period of seven years; this is a legal requirement which we have to meet.

 Sharing Personal Information  

Bean 14 may share your name and company’s name (if applicable) with trusted partners to deliver services within their expertise.  All such third parties are prohibited from using your personal information except to provide these services to Bean 14, and are required to maintain the confidentiality of your information.

 Bean 14 uses email, Mail Chimp, WordPress, Woocommerce, Office 365, Quickbooks Online, Seamless Desk, Google, Facebook, Instagram, PayPal and Amazon as marketing automation platforms, for the purposes of advertising, retailing, support and paying for purchases.  

 Bean 14 does not use or disclose sensitive personal information, such as race, religion, political affiliations or health conditions without your explicit consent.  

 Bean 14 does not sell, rent or lease its customer lists to third parties. We are committed to safeguarding your personal information and therefore try to keep the collection of personal information to a minimum.


 Marketing

Our eCommerce platforms will automatically contact you with regards to abandoned shopping carts, offers and to facilitate the processing of orders in order to enhance your shopping experience. All reviews left on our eCommerce platforms are by logged in, verified owners and have consented to the display of these reviews as such.

 Your Financial Details

To protect your privacy and increase your security online, Bean 14 does not store your financial details, such as credit or debit card numbers and related details, on its servers. The credit or debit card data entered into forms or processed by our vending equipment are passed to and handled by PayPal, Amazon, Elavon, CPI, WooCommerce and its payment processing gateways who will use the data to process transactions.

 Security of your Personal Information

Bean 14 secures your personal information from unauthorised access, use or disclosure. 

Bean 14 secures the personally identifiable information you provide on computer servers in a controlled, secure environment, protected from unauthorised access, use or disclosure. When personal information (such as a credit card number) is collected, it is protected through the use of encryption and may be held in Guernsey, Ireland, the EEA or the United Kingdom. 

Any personal information collected through our engineering support portal is stored with GDPR compliant partners on encrypted servers in the US. Any personal information collected through Bean14.com, its sub-domains and eCommerce platforms are encrypted using SSL.

All IT equipment used by Bean 14 Limited and its employees for the facilitation of processing data, handling phone calls, messages, emails and/ other digital services are fully password secured with enterprise encryption and device management. All means of communication by Bean 14 Limited and its customers take place on these devices. Bean 14 Limited and its employees are prohibited from using devices not secured as detailed in the companies IT policy.


 Use of Cookies, IP Addresses and Tracking 

We may store information about you in a cookie (a small file that is sent by our web server to your computer), which we can access when you make return visits to any of Bean 14’s websites. Storing cookies is usual practice for any web site that needs to remember what its users’ preferences are.
 If you would like to delete any cookies that are already on your computer, please refer to the instructions for your browser software to locate the file or directory that cookies are stored in. Please note that when you visit our site, we also log your IP address, a unique identifier for your computer or other access device.

We may further track your information such as IP address, name, email, clicks, website behavior, orders (including cancelled / failed or abandoned orders) in order to facilitate your shopping experience across Bean14.com and its sub-domains and eCommerce platforms.

Our data processor used for the tracking is Google and used for services such as (but not limited to) Google Analytics.


 Requests regarding an Individuals Rights 

Under the general data protection regulations 2018 you have the right to request a copy of personal information that Bean 14 holds about you and to have any inaccuracies corrected.  In certain circumstances, you also have the right to have personal information erased, to object to the use of, or ask us to restrict the processing of your personal information.  

 To protect you, we will require proof of your identity when making a request regarding your personal information.

You may request the deletion of information held by the Bean 14 shop eCommerce platform by using the contact form located on the homepage of https://shop.bean14.com – an email with a link will be sent to you in order to carry out this request. You may also remove information by accessing ‘My Account’ > ‘Manage’. Information required for the purposes of facilitating stock, audit control or to fulfill our legal obligations may be held for a period of up to seven years.

Data held on the Bean 14 Shop eCommerce platform (Woocommerce) will be handled as follows automatically:

Inactive accounts will be removed after 24 months

Pending orders will be retained for 30 days

Failed orders will be retained for 30 days

Cancelled orders will be retained for 30 days

Completed orders will be retained for 36 months

Bean 14 will occasionally update this privacy statement to reflect changes to the way your personal information is collected, used, stored, removed, or in response to company and customer feedback. We encourage you to periodically review this privacy statement to be informed of how Bean 14 continues to protect your personal information.
